Kairos Rejuvenation (“we,” “us,” or “our”) respects your privacy. This policy describes how we collect, use, and protect information when you visit our website or contact us online.

Information we collect

When you use our website consultation form, we collect the information you submit (name, email, optional phone, whether you agreed to text messages, service interest, and message). We may also process standard technical data (such as IP address for spam prevention, device type, and pages visited) for security and site improvement.

How we use information

We use lead information to respond to consultation requests and help you take the next step (including booking). Form submissions are delivered to our staff by email through a transactional email provider when configured. We may also process lead information through business tools that help us respond on time, track follow-up, and send related clinic emails you would reasonably expect after a consultation request (for example, a short welcome series). We send text messages only when you check the SMS consent box described below. We do not sell your personal information.

Service providers (processors)

To operate the website and consultation form, we use trusted service providers that process limited personal information on our behalf, including:

• Email delivery (for example, Resend) — to send staff notifications about form submissions and, when enabled, related clinic emails to you.
• Automation / workflow (for example, Zapier) — to route lead details to our internal follow-up tools after a successful form submission.
• Spreadsheets / ops tools (for example, Google Sheets or similar) — to maintain an internal lead pipeline so staff can respond and track status.
• Website hosting (for example, Vercel) — to run and secure this website.
• AI language model (for example, xAI) — when you use Atalanta, to generate educational replies about our public website content. Do not submit sensitive health details in chat.
• Patient portal & booking (Practice Better) — when you book or become a patient, clinical and scheduling information is handled in that system under its own terms and privacy practices.

These providers receive only what is needed for their role. We minimize free-text message content in automation tools (for example, short excerpts rather than full messages where possible). Full form messages are intended for staff email so we can respond to you.

Atalanta website guide

Our optional on-site assistant (“Atalanta”) answers questions about published website content (services, memberships, locations, and how to get started). It is educational only and is not medical advice, diagnosis, or a clinical messaging channel. We process chat requests through our website host and a language-model provider to generate replies. We do not retain chat message bodies for analytics in the standard configuration—only aggregate usage counts (for example, number of messages) may be logged for security and reliability. Please do not paste lab results, medication lists, or other sensitive health details into the chat.

Protected health information

This marketing website, the consultation form, and Atalanta are not a clinical messaging channel. Please do not send medical history, lab results, medication lists, Social Security numbers, or other sensitive health details through the form or chat. Clinical care and secure messaging are handled through our Patient Portal and clinical systems after you become a patient, under applicable privacy laws (including HIPAA where applicable).

Cookies & analytics

We may use cookies or similar technologies to understand site usage and improve performance. You can control cookies through your browser settings.

Text messages (SMS consent)

Text messages are optional. We send them only if you check the consent box on our consultation form (on the contact page or the membership interest list) and provide a mobile number. The box is unchecked unless you check it. Checking it is express consent for Kairos Rejuvenation to text that number.

We record whether you checked the box so staff know if texting that number is allowed. No mobile information will be shared with third parties or affiliates for their own marketing or promotional purposes. Text messaging opt-in data and consent are not sold and are not shared for anyone else’s marketing. Service providers that deliver our own form notifications or internal follow-up may process the number only to perform that work for us. Mobile carriers are not liable for delayed or undelivered messages.

All the above categories exclude text messaging originator opt-in data and consent; this information won’t be shared with any third parties.

Your choices

You may email us to request a correction of contact details you submitted, or to ask not to receive further marketing-style clinic emails. To stop text messages, reply STOP to a text from us.
